Supplier bills: read, matched and approved before they reach Spire

Your suppliers' bills, read by AI from a PDF or a photo and approved before they reach Spire. It matches each bill to the vendor, the purchase order and its receipts, sends it up a ladder of approvers by amount, never to the person who entered it, and only then posts it to Spire AP. For a fish buyer, the DFO slip reader does the same with the purchase slips.

What you get

Key capabilities

  • Bills read by AI from a PDF or a photo taken on the phone
  • Matched to the vendor by business number, and to the purchase order and its receipts line by line
  • An approval ladder by amount, with a second signature where you want one
  • Never approved by the person who entered or sent the bill
  • Posted to Spire AP once approved; paying it stays in Spire
  • DFO purchase slips read the same way, for a fish buyer's tickets
For fish buyers

The DFO slip reader: from the purchase slip to Spire

A fish buyer's DFO purchase slips, read from a photo of the slip, printed or handwritten. Each line's grade, pounds and banding are read, the fisherman is matched by his FIN, a licence or his vessel's registration, and the lines are priced from your own price table for the day landed. A person checks the ticket, and only then is it posted to Spire: a purchase order received into stock and a bill, for each share of the catch.

  • Printed or handwritten slips read from a photo
  • The fisherman matched by FIN, licence or vessel registration, never by a name alone
  • Priced from your own price table for the day landed
  • Checked by a person before anything is written to Spire
  • Each step looks Spire up first, so a ticket is never posted twice
How it works

The flow, end to end

  1. Drop the bill in

Add a supplier's bill as a PDF, or as a photo from the phone. AI reads the vendor and their business number, the invoice number and dates, the purchase orders it names, the taxes, the totals and the lines, and lists anything it could not read clearly.

  2. Match it

Nexus finds the vendor by business number and matches the bill to its purchase order and the receipts against it, line by line, and a person checks it.

  3. Approve it

The bill goes up a ladder of approvers by amount, with a second signature where you want one, and moves up a tier when nobody has decided in the time you set. Nobody approves a bill they entered.

  4. Post it to Spire

Once approved, the bill is posted to Spire AP. Paying it stays in Spire.

Questions

What people ask about Supplier bills, with the DFO slip reader

Does Nexus pay the bills?

No. Paying stays in Spire. Nexus reads, matches and approves each bill, then posts it to Spire AP.

Can the person who entered a bill approve it?

No, never. A company whose only approver also keys in the bills gives the approval right to a second person.

Is it on for every company?

No. It stays off until you switch it on, and the DFO slip reader is switched on separately, for fish buyers.
